We’re looking for a Systems Operations Coordinator to join our team to ensure the smooth running of our internal systems, provide first-line support for system-related queries, and help streamline processes across the business.

Yoto’s Systems Operations Team
Forming part of the global Yoto Operations team, the Systems Operations team will be responsible for ensuring the smooth flow of information between our software tools as well as streamlining and optimising all systems usage across the business. Working closely with all teams in the wider business, the Systems Operations team will ensure our systems meet the business’s requirements as we scale and ensure that we are able to grow sustainably. The Systems Operations team will be key in driving operational excellence - focussing on automating manual processes allowing Yoto to expand without continuous hiring, and the seamless integration between all of Yoto’s key platforms.
What you’ll be doing:
- First responder for Systems Operations questions or issues
- Triage of issues, then resolution or escalation as appropriate
- Triage of issues, then resolution or escalation as appropriate
- Monitoring and new Systems tasks via the team’s task tracker.
- Ensuring each ticket has been completed fully for team to consider
- Progression of tickets, updates, deadline monitoring
- Delete accidental tickets
- Reassigning tickets as appropriate
- Assigning actions and deadlines where needed
- Amendment/development of ticket form to reflect company needs developing over time
- Ensuring each ticket has been completed fully for team to consider
- Working with Finance team using our Setyl platform to enable monthly checks on licence usage and costs
- Working with platform owners to enable correct platform access, and onboarding any new platform requirements to allow SSO and correct onboarding/record maintenance
- Regular access review tasks - ensure the correct people have access to the right platforms with the correct permissions
- Developing the Shopify B2B platform to leverage Shopify native developments and app resources to better service our B2B partners
- Editing and maintaining permissions for NVOY/Okta
- Liaising between NVOY and colleagues on any support requests
- Primary contact for new starters/leaver process
- Create new email groups, housekeeping reviews of access to existing groups
- Working with Systems Ops team to improve, develop and curate our internal company support pages (Notion)
- Assisting System Ops project work
- Daily support tasks for System Operations Coordinator as required
- Support for Systems Operations Coordinator’s training documentation and resource program
- Support the Operations department’s collaboration with the Data team
- Circulation of reports to internal teams as required
- Carry out responsibilities in line with team training and policy
What you’ll bring:
- 2 years in a similar role
- Proven experience of administration, support and development in a multi-application environment
- Demonstrable experience of team, policy and process development
- Excellent attention to detail
- A service driven attitude towards all work - ensuring we provide the best service possible, as quickly as possible, to all customers, whether they are external or internal to Yoto
- Comfortable working remotely using a variety of cloud-based software solutions
- A friendly, outgoing, personable with a hands-on mentality, willing to roll your sleeves up, and deliver to agreed targets
- Self-starter - able to work both alone and as part of a team
- Good MS Office skills especially Excel
- Good Google Suite/Workplace knowledge
- Nice to have: Shopify/NetSuite experience
Salary: £40,000 - £50,000 based on experience
